Introduction
Vehicle History is a product offered by Cox Automotive that allows you to perform Car History Reports, Personal Property Security Registration (PPSR) searches, Security Interest searches and manage PPSR Registrations.
This product also integrates with your inventory to provide you with piece of mind that your inventory is legally and industry compliant.
Inventory View
In the Inventory View, you can see all your vehicles by Stock Number, VIN, Vehicle Description, Last Search date, Search Status and Last Registration.
You can also use the Filters at the top to only show vehicles that Have a Certificate, No Certificate or No Recent Certificate (that has been created in the last two weeks). There is also a checkbox to Include Sold vehicles as well.
The Action button to the right of each vehicle allows you to perform a Car History Report, PPSR Search or Register Security Interest for that vehicle.
Car History
When selecting Car History from the action menu, it will open underneath the Inventory List. You can click the Lookup Stock No. button to select a vehicle in your inventory and a window will come up where you can choose the appropriate vehicle. If you imported the details for the Stock Number, VIN and Odometer from your DMS to Cox Automotive, then these details will populate when selecting the vehicle.
You can also click the Verify VIN button (data verified from the Cox Automotive vehicle database) for free, to show the Vehicle Details for piece of mind on your vehicle selection.
Lastly, ensure the Odometer is correct (or enter the vehicles odometer value) and click Submit Request to get the Car History Report.
Once the request has finished processing, you will see the results. On the left it tells you how many Car History Reports were run and gives you the Vehicle Report as viewable and downloadable PDF file.
On the right it shows you the Serial Number Type, the Serial Number (VIN) and the Vehicle Details.
If you wish to perform another Car History Report, simply click Perform Another Search.
PPSR
PPSR Search is where you can do a search on a Stock Number to verify whether it has any securities attached to the vehicle. You can do this by either Searching by Serial Number (VIN), Individual Grantor or Organisation Grantor. When searching by Individual Grantor, you enter the Given Names, Family Name and Date of Birth to do a search, however these searches are not specific to a vehicle. For Organisation Grantor, you can enter the name of the Organisation, the ACN, ABRN, ABSN or ABN to conduct a search, however like Individual, these searches are not limited to vehicles.
First you enter the Stock Number by either typing it in or using the Lookup Stock No. button, which will bring up a window where you can select the appropriate vehicle. Then simply use VIN as the Serial Number Type and enter the VIN in the Serial Number field. You can also verify the VIN for free by pressing the Verify VIN button. Once you see the Vehicle Details for the VIN populate, simply click Submit Request.
If your submission is successful, you will see the Search Certificate Number, the Serial Number Type and Serial Number, the Vehicle Details, the Date Submitted, The Status of the Certificate and a button View Certificate, should you wish to view and/or print out the certificate for your own records. You can also view the certificate in the Transaction History later as well.
Security Interest
To Register, Amend or Discharge a Security Interest, you will need to select Security Interest from the left-hand side menu under PPSR if you have this configured.
To Register a Security Interest, simply enter the Collateral Type, Stock Number (you can use the same lookup as before to select the vehicle), Serial Number Type, Serial Number (VIN) and Vehicle Registration Number. Once you have entered in these details, enter the Duration of interest registration by either 7 years (default) or selecting a date of your choosing. You can also add any Additional Details as required, such as ticking the checkboxes for ‘Purchase money security interest applies’ or ‘Proceeds to be claimed’.
Once you have entered in all applicable information, click the Submit Request button to submit the registration.
Once you submit your request, you should be able to see the request as shown above, however PPSR may not have been able to retrieve the transaction yet so it will be viewable in the Transaction History when available.
Manage Registration
Once completed, you can also manage any registrations to the Security Register that you make. In this menu you will see the PPSR Registration Number, Lodgement Date, Registration End Date, Serial Number (VIN), Giving Notice of Identifier (if applicable) and Owning Client Name.
There is also an Action button where you can View, Amend or Discharge the Registration as well.
Transaction History
To track all your transactions, you can access the Transaction History page. This will show you the Transaction ID, Type of transaction, Serial Number (VIN), Certificate or Registration number, Status, Date and Time, the User who performed the transaction and the Description (usually the VIN). Next to the Transaction ID you will see a PDF icon if the certificate is available, which can be clicked to view the certificate.
You can also Filter this page by Accepted, Unviewed or Rejected transactions, as well as by the Lodgement Date.
Finally, you can also Download as CSV all the filtered or unfiltered transactions you wish.
